One planned attendance, two defined scopes
Price the boiler service and gas safety check separately before combining them
A combined visit can be convenient, but it does not make the two jobs interchangeable. Send the postcode, property status, fuel, boiler details, every other appliance and flue, previous records, access and required outputs so the quotation states what the service covers and what the safety check records.
The direct cost answer
A combined price is useful only when both scopes are complete
Landlord or homeowner
State whether the annual landlord record is required or whether the homeowner needs a service, safety check or requester-specific document.
Make, model, fuel and condition
Send the data plate, boiler location, service history, error codes, warning labels and any symptoms that may require diagnosis rather than routine servicing.
Declare the full safety-check scope
List every boiler, fire, cooker, hob, heater and relevant flue that must appear within the agreed landlord or safety-check scope.
Match the engineer's categories
State the fuel and supply arrangement. Boiler competence does not automatically cover every LPG, commercial or other appliance category.
Plan a workable attendance
Provide the postcode, occupancy, tenant notice, keys, parking, restricted areas, previous record and genuine due date.
Name every record and service item
Confirm the service record, landlord gas safety record, invoice recipients and whether paper or electronic delivery is needed.
What changes the combined quotation
Give each provider one complete written brief
| Quote driver | What to send | Why it matters | What to confirm |
|---|---|---|---|
| Boiler service scope | Make, model, fuel, location, age if known, manual, service history and symptoms. | Manufacturer instructions and boiler condition affect the planned service work. | Named service tasks, service record and exclusions. |
| Gas safety scope | Property status, every landlord-provided appliance, relevant flues and previous record. | The safety check is a distinct inspection and record, not an assumed by-product of servicing. | Appliances and flues included and the document supplied. |
| Fuel and competence | Natural gas or LPG supply plus domestic, commercial or mixed-use setting. | The attending engineer's categories must match the boiler, fuel and all other work. | Competence assumptions and any specialist attendance. |
| Access and attendance | Full postcode, occupancy, tenant notice, keys, parking and restricted areas. | Failed access or an incomplete brief can require another visit. | Travel, parking, cancellation and failed-access terms. |
| Known fault or unsafe finding | Error codes, warning labels, symptoms, recent repairs and whether equipment is operating. | Diagnosis and remedial work may require more time, parts or a different route. | How extra work will be quoted and authorised. |
| Commercial terms | Invoice recipient, required date and paper or electronic records. | A headline package figure is incomplete when VAT and delivery are unclear. | VAT position, payment terms, records and all exclusions. |
Service and check are not interchangeable
Ask the quotation to show each purpose, action and output
| Question | Boiler service | Gas safety check and record |
|---|---|---|
| Primary purpose | Maintain and examine the boiler in line with the agreed service scope and relevant manufacturer information. | Complete the required safety-check matters for the declared appliances and relevant flues. |
| Starting information | Boiler make, model, fuel, condition, history, symptoms and service instructions. | Property duty, previous record and date, every appliance and flue, fuel and access. |
| Expected output | Service documentation describing the work completed and findings within the agreed scope. | The applicable gas safety record identifying the property, engineer, items checked, results and safety information. |
| Defects and repairs | Further diagnosis, repairs or parts are separately authorised unless expressly included. | The record can show defects; unsafe equipment must not be used and follow-up evidence should be retained. |
| Can one replace the other? | No. HSE says not to assume a service includes the required safety-check points. | No. HSE says not to assume a safety check alone provides effective maintenance. |
Compare like for like
Do not compare a complete combined scope with a smaller package
Address and responsible contact
The quotation identifies the property, landlord or homeowner, booking contact and access arrangements.
Service and safety check
Each job is described clearly, even when the provider offers one combined total for a single attendance.
Boiler, other appliances and flues
The combined price covers the same boiler and complete safety-check list supplied to every provider.
VAT, parking, faults and follow-up
Check VAT, travel, parking, cancellations, failed access, diagnosis, repairs, parts and return attendance.
Known fault or breakdown?
A routine combined booking may not include diagnosis or repair
Send the symptoms before booking. Error codes, warning notices, leaks, unusual combustion, intermittent operation, loss of heat or hot water and recent work can change the attendance route and planned time.
Do not use equipment classified as unsafe. A routine web quotation is not an emergency response, and the service or safety-check result cannot be promised in advance.
When the safety check records a defect
Keep the original record and later remedial evidence together
The record should not be withheld until the repair is complete
HSE says the landlord gas safety record should be issued once the required checks have been completed and should not be delayed when defects or concerns are found.
Unsafe equipment must not be used. The landlord or dutyholder should retain the original record with the repair, replacement, recommissioning or other follow-up evidence.
The combined quotation should explain how additional work will be assessed, quoted and authorised without obscuring the result of the original inspection.
Choose the correct combined route
Property use, fuel and boiler category change the work
Service plus annual landlord record
Send the tenancy status, previous record and date, boiler information, every landlord-provided appliance, relevant flues and tenant access.
Service plus named safety request
State whether the second output is a homeowner safety check, sale-related request, insurer or lender request, or other document wording.
Commercial competence and dutyholder scope
Provide the appliance rating, business use, plant-room access, commercial appliances, operating restrictions and required records.
Fuel-specific supply and competence
Send the cylinders or bulk tank, regulators, pipework, boiler and other appliances, property type and exact service or record requested.
Evidence from one planned attendance
Keep each document tied to its own scope
Two scopes and one attendance plan
Service tasks, safety-check items, records, access, VAT position and exclusions are written down before the visit.
Registration and matching categories
Verify the current Gas Safe ID card and the work categories for the boiler, fuel and every task.
Service record and gas safety record
Check the property, engineer, boiler, appliances, flues, results, dates and recipients shown on each applicable document.
Defects, repairs and recommissioning
Retain the original findings with later authorisation, parts, repair records and any return attendance.
Coverage and availability
Every combined enquiry is checked by postcode and competence
Regular work covers London, Essex and Kent. Hertfordshire, Surrey, Buckinghamshire, Berkshire and Sussex can be considered when the right trade is available. Other areas are considered by request after the postcode, fuel, boiler, appliances and required work categories have been checked.
