Premises and access
Postcode, building type, number of areas, trading hours, parking, loading, keys, permits, security, roof or plant-room access and whether work must be out of hours.
Natural gas, LPG or both
Meter, bulk tank or cylinder arrangements, regulators, pipework, isolation and whether one site contains separate supplies or a mobile installation.
Every appliance and work category
List every appliance, including equipment outside the kitchen or plant room. Upkeepone will need to confirm support for the fuel, appliance categories and work requested; listing specialist equipment does not confirm that it can be inspected.
Inspection, service, repair or record
State whether the enquiry needs a safety inspection, named record, maintenance, breakdown diagnosis, repair, installation, commissioning or a combination.
Budgeting for more than one appliance
The published additional-appliance charge starts from £45 + VAT (£54 including VAT) for each appliance beyond the first. For illustration, applying the starting charges to three appliances gives £155 + £45 + £45 = £245 before VAT, or £294 including VAT at 20%. This is a budgeting example, not a confirmed price for a three-appliance site.

Condition and agreed checks
The engineer inspects the declared equipment and records relevant checks, results, defects, safety actions and limitations. A satisfactory result cannot be promised in advance.
Manufacturer-led maintenance
Servicing can include cleaning, adjustment, component inspection and tests for a named appliance. It must be expressly included rather than inferred from the word certificate.
Fault-led work
Diagnosis, dismantling, parts, labour and return attendance depend on the fault and availability. Unsafe equipment may need to remain isolated pending remedial work.
New or altered work
Design, pipework, ventilation, flue, controls, interlocks, installation and commissioning require a different scope from inspecting an existing appliance.
Ask whether the quotation includes any required gas tightness testing, purging, extraction or interlock checks. Their extent must be agreed for the installation; specialist testing, assessment or remedial work may need a separate quotation.

The quote may focus on the named boiler, flue, controls and accessible supply. It should still state whether servicing or only a safety inspection is included.
Several catering appliances
Commercial catering competence, appliance schedules, flexible connections, restraints, extraction, make-up air and interlock questions can change the visit.
Kitchen, plant and accommodation
Commercial catering, boilers and relevant guest or staff accommodation may involve separate records, duties and work categories.
Tank or cylinder-fed installation
Supply, regulators, vapour pipework, isolation, appliance categories and LPG competence must be defined. A natural-gas quote is not interchangeable.
Food truck, trailer or mobile bar
Cylinders, regulators, hoses, movement, storage, ventilation and every mobile appliance require a whole-unit LPG scope rather than a fixed-building certificate.

What to include in a natural gas or LPG quotation request
State whether your equipment uses mains natural gas, a bulk LPG tank or cylinders. For LPG, identify which parts of the supply belong to the supplier and which parts you want inspected. Work on storage, regulators, buried pipework or a mobile unit needs an agreed scope and appropriate competence; an appliance quotation does not automatically include those systems. Compare the included work as well as the total
Are all assets listed?
A low quote may cover fewer appliances or only one area. Compare the written equipment schedule rather than the certificate name.
Do they match the work?
Check the registered business and engineer ID card for the fuel and exact boiler, catering, pipework or other categories required.
Which record will be supplied?
Confirm the document name, recipient requirement and whether defects, limitations and appliance results will be recorded.
What could be charged separately?
Servicing, repairs, parts, design, specialist ventilation work, out-of-hours attendance and a return visit should be stated plainly.
Possible gas escape
Do not wait for a quotation if gas may be escaping
HSE says that if a leak is suspected, turn off the supply if safe and call 0800 111 999 for natural gas or the LPG supplier for liquefied petroleum gas. Do not turn the gas back on until the leak has been dealt with by a competent person. Evacuate and call 999 where there is fire, immediate danger or doubt.
