Check the business, engineer card and boiler category before booking
Gas Safe registration is an essential starting point where the Regulations apply, but it is not a universal "commercial" badge. The attending engineer's current fuel and appliance categories must match the actual boiler and work.

Check who accepts the work
Where Gas Safe registration applies, verify the business carrying out the gas work. A trading name, website badge or verbal assurance is not the same as a current register check.
Check the person at the site
The front of the ID card shows the photograph, registration number and expiry. Match the person who arrives rather than relying only on the office booking.
Read the reverse of the card
The reverse lists the categories currently held. These must cover the fuel, boiler and work rather than simply saying "Gas Safe registered".
Define what the visit delivers
Registration does not turn a routine service into repair, commissioning, a landlord record or a complete site certificate. Name the appliances, tasks and evidence required.
What this guide corrects

Match the engineer to the boiler
The premises label does not define the competence required
Start with the data plate
Send the manufacturer, model, input, serial where available, fuel and readable data-plate photo for every boiler.
Single, cascade or specialist plant
Describe modular or cascade boilers, separate burners, calorifiers, plate heat exchangers, shared flues, pumps and controls.
Service is not every gas task
Planned servicing, repair, installation, commissioning, pipework, combustion or another activity can require different competence and information.
Natural gas or LPG
Natural-gas competence does not automatically include LPG. Declare the meter, tank or cylinders, regulators and known supply arrangement.
Workplace, accommodation or specialist site
State whether the boiler serves shops, offices, schools, hospitals, rented homes, guest accommodation, factories, agricultural premises or another setting.
Flue, ventilation and controls
Define the agreed service boundary for flues, ventilation, interlocks, BMS, water-side components and equipment needing another specialist.

The engineer check should match the work ordered
Maintain declared boilers
Manufacturer-led inspection, cleaning, testing and maintenance, with findings and limitations recorded for the named equipment.
Identify the cause first
For lockout, loss of heating or hot water, error codes, noise or performance change. Diagnosis does not guarantee parts or same-visit repair.
Authorise remedial work
Replacement parts, labour, specialist access and return attendance should be agreed separately unless expressly included.
Name the evidence required
State the recipient, applicable duties and exact boiler, flue, pipework or system scope. A service record does not automatically become every certificate.
Use the project categories
New, replaced, converted or altered boilers need the relevant design, installation, commissioning and documentation scope.
Do not wait for a service booking
A possible gas escape or immediate danger must follow the emergency route below, not a routine maintenance enquiry.

Premises and legal route
Use the HSE route that matches the premises
HSE states that work on gas fittings in domestic properties and workplaces such as shops, restaurants, schools and hospitals must be carried out by a Gas Safe registered engineer qualified for the work. It identifies a competent-person route for certain factories, mines, quarries, agricultural premises, construction-site huts and sewage works, while domestic, residential or sleeping accommodation within those premises still requires Gas Safe registration.
Do not reduce this to "commercial means Gas Safe"
Send the actual premises use and areas served. Mixed-use buildings, guest rooms, staff accommodation, specialist industrial sites and LPG installations can change the duties, competence route and records needed.
Pre-booking checklist
Send these details so the right commercial boiler engineer can be checked
- Postcode and premises: full address, building use and whether homes, guest rooms, staff accommodation or sleeping areas are served.
- Responsible contact: owner, employer, landlord, tenant, agent or facilities contact who can approve access and follow-up.
- Fuel and supply: natural gas or LPG; meter, bulk tank or cylinders; known regulator, isolation or pipework information.
- Boiler schedule: every boiler and burner with manufacturer, model, input, location and readable data-plate photographs.
- Plant details: cascade, common header, calorifier, pumps, controls, BMS, interlocks, ventilation and flue arrangement.
- Current condition: operating status, error codes, lockouts, noise, leaks, performance changes or equipment already isolated.
- Maintenance history: manufacturer instructions, previous service and inspection records, alterations and unresolved findings.
- Required work: planned service, diagnosis, repair, safety inspection, certificate, installation, commissioning or a combination.
- Access: keys, permits, parking, security, escorts, roof or height access and any restricted working area.
- Shutdown and record: acceptable heating or hot-water interruption, occupants affected, target date and exact report recipient.

Know what the service record should tell you
Boiler and fuel identified
The record should name the premises, appliance, fuel, date and engineer so it can be matched to the asset register.
Tasks and checks recorded
Review what was inspected, cleaned, tested or adjusted against the agreed service and available manufacturer information.
Evidence, access and condition
Relevant readings, observations, inaccessible areas and excluded systems should be clear rather than hidden behind "service completed".
Operating, off or isolated
Confirm any safety action, warning, isolation or restriction and who was informed before the engineer left.
Separate findings from repair
Ask which actions are urgent, planned or advisory and whether parts, another specialist or return attendance are needed.
Check it was ordered
A service record is not automatically a landlord record or broad commercial safety certificate. Check the exact document and scope.
Commercial LPG boiler service
Check LPG competence and define the supply boundary
Send the LPG boiler data plate plus the bulk tank or cylinder arrangement, regulators, changeover equipment, service pipework and known supply concerns. The boiler service, safety inspection, storage, buried or above-ground pipework and supplier responsibilities may be separate scopes.
Booking red flags
Pause before accepting a vague commercial boiler booking
"Commercial" is treated as enough
The provider should ask for the boiler, fuel, input, site and work rather than promising acceptance from the postcode alone.
Registration is used as a blanket claim
Ask how the attending engineer's current categories will be matched to the specific boiler and work.
The document is not named
Require the exact report or certificate, premises duty and included systems in writing before booking.
Outcome exceeds the evidence
A service can support maintenance decisions but cannot promise future costs, performance or fault-free operation.
Parts and authorisation are unclear
Confirm consumables, replacement parts, remedial labour and return attendance rather than accepting an open-ended service description.
Operations have not been planned
Plant-room access, isolation, cooling, tenants, guests, production, heating and hot-water needs should be agreed before attendance.

Use the emergency route—not a service enquiry
HSE says that if a leak is suspected, turn off the supply if safe and immediately call 0800 111 999 for natural gas or the LPG supplier for liquefied petroleum gas. Do not turn the supply back on until the leak has been dealt with by a competent person. Evacuate and call 999 where there is fire, immediate danger or doubt.
