Known fault or breakdown?

A routine combined booking may not include diagnosis or repair

Send the symptoms before booking. Error codes, warning notices, leaks, unusual combustion, intermittent operation, loss of heat or hot water and recent work can change the attendance route and planned time.

Do not use equipment classified as unsafe. A routine web quotation is not an emergency response, and the service or safety-check result cannot be promised in advance.

When the safety check records a defect

The record should not be withheld until the repair is complete

HSE says the landlord gas safety record should be issued once the required checks have been completed and should not be delayed when defects or concerns are found.

Unsafe equipment must not be used. The landlord or dutyholder should retain the original record with the repair, replacement, recommissioning or other follow-up evidence.

The combined quotation should explain how additional work will be assessed, quoted and authorised without obscuring the result of the original inspection.

Is a boiler service the same as a landlord gas safety check?
No. HSE says landlords should not assume that an annual service includes the points required by the safety check, or that the safety check alone provides effective maintenance. Ask for the boiler service and landlord gas safety check to be listed as separate scopes in the quotation.
Is a gas safety record automatically included with a boiler service?
Not unless the written quotation says that the required gas safety check and record are included. A boiler service can be completed without producing a landlord gas safety record. State the exact record needed, the property status and every appliance and relevant flue that must be checked.
What details are needed for a combined quotation?
Send the full postcode, landlord or homeowner status, natural gas or LPG supply, boiler make and model, fuel and location, every other appliance and relevant flue, previous service information, previous gas safety record and due date, known faults, access, parking and the required paperwork.
Does booking both jobs together always reduce the cost?
No saving should be assumed. One planned attendance may reduce duplicated travel or access time, but both scopes still need the correct checks, competence and paperwork. Compare a combined quotation with two equivalent separate quotations and check every inclusion.
Are repairs and boiler parts included in the combined cost?
Only if they are expressly included in writing. Diagnosis, repairs, replacement parts, system work, installation, commissioning and return attendance are separate from the planned service and gas safety check. Additional work should be explained and authorised separately.
What if the boiler has a known fault before the visit?
Describe the symptoms, error codes, warning labels, recent work and whether the boiler is operating. A routine service or gas safety booking should not be used as an emergency response. Diagnosis may require a different appointment length, parts plan or engineer route.
Will the gas safety record be issued if a defect is found?
