Landlord gas safety record
Send the tenancy or occupancy, landlord or agent, last record and due date, every landlord-provided appliance and flue, tenant access and the intended record recipient.
Define the reason for the check
State whether the request is for routine safety, a buyer or conveyancer, a home move, an insurer, a lender or another purpose. Do not assume an annual landlord form is the only suitable output.
Declare the business activity and equipment
List commercial boilers, heaters, plant, catering appliances, landlord areas, public access and any customer wording so domestic and commercial categories are not confused.
Identify the fuel and installation type
Declare cylinders or bulk supply, caravan, park home, catering trailer, horsebox, mobile unit or permanent premises, every appliance and the record requested.

Copy the exact wording from the landlord, tenant, buyer, insurer, council, event organiser or business. State who must receive the document and by when.

Check the registered competence
Confirm the business is on the Gas Safe Register and the attending engineer's current ID-card categories cover the fuel, appliances and work.
Agree the written quotation
Check the inspection scope, document, VAT and travel treatment, appointment window, exclusions and how services, faults, parts or return visits are priced.
Prepare access and retain evidence
Make every listed appliance and flue accessible. After the visit, keep the findings with any safety advice, repairs, service documents and distribution evidence.

Qualify the location
Full postcode, country, residential or commercial status, tenancy, occupancy, floor or unit, parking and any concierge or permit restrictions.
Declare natural gas or LPG
For LPG, include cylinders or bulk storage, regulator and changeover arrangement, mobile or static use and whether the supply is shared.
List every item in scope
Make, model, fuel, location, appliance type and relevant flue. Identify owner-provided and tenant-owned appliances rather than treating them alike.
Send dates and findings
Include the last record, due date, service history, warning notices, repair documents and any recent installation or change to the premises.
Plan a complete visit
Name the person attending, tenant-notice requirements, keys, alarms, pets, vulnerable occupants and any appliance or flue that is difficult to reach.
Use the exact requester wording
State who needs the document, why, the required format and the real due date. Do not promise a result before the inspection is completed.
For landlords and agents
Arrange the check, issue the record and keep the follow-up history
For relevant rented property in Great Britain, landlord-provided gas appliances and flues require the annual safety check. Existing tenants receive the record within 28 days of the check, and new tenants receive the current record before moving in.
The record should be retained with evidence of any remedial work. Where the permitted early-renewal timing is used, HSE explains that the record may need to be kept until two further checks have been completed. The management contract should clearly allocate any agent responsibility.
Verify the person who attends
Registration alone does not show every work category
Check both the business and the individual engineer
Use the official Gas Safe Register to confirm the business is registered. When the engineer arrives, check the photograph, licence number, card dates and the categories on the reverse of the ID card.
The categories must match the actual fuel, appliances and work. Domestic natural gas, LPG, commercial heating and commercial catering are not one interchangeable competence.
Give the complete appliance schedule before attendance so the provider can check competence and avoid sending an engineer whose current categories do not cover the work.
Know what happens after the check
The record can show defects; it is not a guaranteed pass
Receive the agreed record
The document should identify the property, items checked, engineer and findings appropriate to the agreed record type.
Keep the original finding
HSE says a landlord record should be issued on completion of the checks and not delayed until remedial work is finished.
Follow the safety action
Equipment identified as unsafe must not be used. Do not reconnect or continue using it until the appropriate defect has been rectified.
Authorise it separately
Diagnosis, repairs, parts, replacement and another inspection may need a new quotation. Keep that evidence with the original record.
Request a transparent quotation
Price the real inspection instead of a generic certificate label
The quotation depends on the postcode, property use, fuel, appliances and flues, access, requested document, appointment timing and engineer categories. Services, faults, repairs, parts and return attendance should be identified separately.
Ask whether VAT, travel and parking are included, what happens if the visit cannot proceed and how additional work will be authorised. The result cannot be promised before the engineer completes the required checks.
