HSE says landlords must keep relevant gas fittings in a safe condition and arrange an annual gas safety check for each appliance and flue they own and provide for tenants. The check must be completed by a Gas Safe registered engineer, and the engineer's categories must match the specific fuel, appliance and work.

The record must identify the property, landlord or agent, checked appliances and flues, date, engineer and registration details, safety-related defects, action taken at the visit and the required safety confirmations. Keep the applicable records for at least two years and retain the evidence needed if using the early-check flexibility.

The timing and delivery route matter

Existing tenants must receive a copy of the landlord gas safety record within 28 days of the check. A prospective tenant must receive the current record before moving in. An electronic copy can be used when the tenant is happy to receive it and can access it; a paper copy must be supplied when requested.

For occupancies shorter than 28 days, including relevant holiday accommodation, HSE says a legible copy should be displayed prominently in the checked premises. If a displayed-record route is used for other relevant accommodation, tenants must be told where the notice is and how to request an individual copy.

Routine maintenance, a suspected defect, a home sale, a lender request and a buyer's condition concern are not the same instruction.

Collect the existing documents

Ask for service history, installation or notification evidence, warranties, previous reports and records of repair. Check the address, appliance and issuer.

Define the inspection scope

State whether you need a service, safety check, condition investigation, testing of a particular issue or a report for a named recipient.

Match the registered engineer

Check the Gas Safe ID card, identity and current work categories for the exact fuel, appliance and work, including LPG or commercial categories where applicable.

Commercial, mixed-use and LPG premises

The domestic certificate route may be the wrong route

A shop with a flat, guest accommodation served by plant elsewhere, a commercial kitchen, a mobile catering unit and an LPG-heated property create different duty and competence questions. HSE confirms that domestic accommodation within mixed premises can bring relevant landlord duties, while workplace equipment also needs suitable maintenance and safe systems.

For LPG, describe the full supply and installation: tank or cylinders, regulators, pipework, appliances, ventilation, flues, property or unit use and whether the equipment is fixed or mobile. A natural-gas or domestic category must not be assumed to cover LPG, commercial heating or commercial catering work.

If a defect is recorded

The record should show the finding—not hide it until repairs finish

A gas safety record is a record of the completed checks

HSE says the record should be issued when the required checks are completed, even if a fault or concern is found. It should not be delayed until remedial work is complete.

Unsafe equipment must not be used. Keep the record together with the engineer's safety action, repair authorisation, invoices, parts evidence, job reports and any required reinspection. A "certificate" does not itself repair a defect or prove that later work was completed.

Is a gas safety certificate a legal requirement for every Essex property?
No. The answer depends on who controls the property and how it is used.
