You can use official online services to verify a registered business or engineer and you can receive a gas safety record electronically. You cannot search a universal public database to prove an Essex address is covered, and an online process cannot replace the engineer's visit.

Online registration check

Use the official Gas Safe Register route to check the registered business and the attending engineer. Match the engineer's photograph, licence number and current work categories with the ID card and the exact fuel, appliance and work.

This verifies registration and listed competence. It does not prove that a particular property was visited or that every entry on a record is correct.

Document review

Ask the landlord, agent, engineer or responsible business for the current record. Compare its address, date, checked appliances and flues, engineer details, findings and action with the property.

An electronic copy can be acceptable when the relevant HSE conditions are met. It is not the same as retrieving a certificate from a universal property database.

Physical gas safety check

The inspection happens at the property. The engineer needs appropriate access to the declared appliances, flues and test points and must complete the applicable checks before issuing the record.

Photographs and booking forms help plan the appointment; they do not inspect combustion, safety devices, ventilation or flue performance remotely.

Search the official register using the business details or postcode route. Do not rely on a logo, advert, social profile or copied registration number.

Check the attending engineer

Ask to see the engineer's Gas Safe ID card before work starts. Match the photograph, name and seven-digit licence number with the official check.

Check the work categories

Read the current categories on the back of the card. Domestic natural gas, LPG, commercial heating and commercial catering require different competence, as do particular appliances and work.

Resolve any mismatch before work

Pause if the photograph, licence number, employer, expiry or work categories do not match. Confirm the position with Gas Safe Register instead of accepting an explanation at the door.

A landlord record documents the checks and findings

HSE describes the landlord gas safety record, previously often called a certificate or CP12, as the record of the annual check. It should identify the property, landlord or agent, each checked appliance or flue, the date, engineer, registration and signature, safety-related defects, action taken at the visit and the required safety confirmations.

Do not treat the word "certificate", a company logo or a clean-looking PDF as proof by itself. Match the document with the property and verify the issuer. A record can legitimately show a defect: HSE says it should be issued when the required checks are complete and should not wait for remedial work to finish.

Electronic records are allowed

Digital delivery does not weaken the evidence requirements

HSE allows electronic storage when the record can be reproduced in hard copy, is secure from loss and interference and uniquely identifies the engineer. A tenant can receive an electronic copy when they are happy with that arrangement and can access it; a paper copy must be supplied if requested.

For landlord duties, existing tenants must receive the record within 28 days of the check and prospective tenants before moving in. The landlord must keep the applicable records for at least two years, with longer evidence needed when using the early-check flexibility.

Do not treat a purchased PDF or remote promise as a substitute for an inspection. The required safety checks must be completed by the appropriate engineer.

Send enough information to match the right engineer

For an Essex quotation, provide the full postcode, property or unit type, landlord, homeowner or business use, natural gas or LPG supply, every appliance and flue, existing records, access arrangements and the document or report requested.

State whether the enquiry includes a service, defect investigation, pipework testing, commercial plant, catering equipment, LPG cylinders or tank, mobile unit, repair or deadline. These are not automatically included in a standard domestic safety-check quotation.

Can I check an Essex property's gas safety record online?
There is no general public address search that confirms whether an Essex property has a current landlord gas safety record. Ask the landlord, agent or other responsible person for the latest record. You can then check the attending engineer or registered business through Gas Safe Register and compare the document with the property and appliance schedule.
Can a gas safety inspection be completed remotely?
No. Online forms, photographs and video calls can help qualify the booking, but they cannot replace the engineer's attendance and the applicable physical checks. The engineer must have safe access to the declared appliances and flues and must complete the required checks before issuing the record.
Can a landlord provide the gas safety record electronically?
Yes. HSE says a landlord or engineer, with the landlord's agreement, may provide an electronic copy when the tenant is happy to receive it and can access it. A paper copy must be provided if the tenant asks. The electronic record must be secure, reproducible in hard copy and identify the engineer.
How do I check whether the engineer is Gas Safe registered?
Use the official Gas Safe Register service to check the registered business and the individual engineer. Compare the engineer's photograph and seven-digit licence number with the ID card presented at the property, and check the current work categories for the fuel, appliance and type of work.
Does a Gas Safe registration check prove the property record is genuine?
It is an important verification step, but it does not by itself prove that the listed engineer attended that property or checked every item shown. Compare the property address, date, engineer identity, appliance and flue locations, defects and required confirmations, and ask the issuer about any mismatch.
What information should be on a landlord gas safety record?
HSE lists the property address; landlord or agent details; the description and location of each appliance or flue checked; the check date; the engineer's name, registration number and signature; safety-related defects; remedial action taken at the visit; and confirmation that the required safety matters were examined.
Does a record with a defect mean it is fake or invalid?
No. A landlord gas safety record reports the results of the completed checks. HSE says it should not be delayed until remedial work is finished. Any defect, safety action and follow-up work should remain visible, and unsafe equipment must not be used until it is safe.
Can I download a replacement record from Gas Safe Register?
Do not assume Gas Safe Register stores a downloadable copy of every landlord gas safety record. Request the record from the landlord, managing agent, engineer or business that issued or retained it. Building Regulations compliance certificates for certain notified installation work are a different document and should not be confused with the annual landlord record.
What if my landlord will not provide the record?
Ask in writing for the current gas safety check record and keep the correspondence. HSE provides a reporting route for tenants who do not have a current record. An existing tenant should receive a copy within 28 days of the check, while a new tenant should receive it before moving in.
