Annual landlord gas safety record
Declare the tenancy, landlord-provided appliances and flues, current record, due date and access. The relevant appliances and flues are checked and the statutory record is completed.
Service, safety check or fault request
An owner-occupier does not automatically need a landlord record. State whether the request is routine servicing, an agreed safety check, a fault, sale evidence or another named requirement.
Ask the landlord or agent for the current record
Existing tenants should receive a copy within 28 days of the check; a new tenant should receive it before moving in. Share the landlord or agent details when help arranging access is needed.
Specialist fuel and engineer categories
A shop, restaurant, plant room, mixed-use building, cylinder system or tank installation may need a different route. Declare who the system serves, fuel, use and every appliance before booking.

Define the property and annual-check scope before requesting a date
Landlord, agent, owner or tenant?
Confirm whether the home is occupied, between tenancies, owner-occupied, mixed-use, holiday accommodation or another arrangement. State who will receive the record.
Ownership matters
List every boiler, fire, cooker or other gas appliance, its fuel and location, who provided it and the associated flue. Include tenant-owned items rather than leaving them unexplained.
Send the current document
Attach the current landlord record, original due date, previous defects, repair evidence and any service history. Do not wait until the deadline to resolve missing scope or access.
Appliances, meters and occupants
Confirm keys, tenant contact, meter and appliance access, parking, vulnerable occupants, pets and any fault, smell or unsafe appliance. Do not use a routine form for an emergency.
At the appointment
The engineer checks the declared appliances and flues within the agreed scope
The engineer confirms the property, fuel, appliance and flue list, ownership, access and requested record. Appropriate checks can include appliance condition and operation, safety devices, combustion, ventilation, flue performance and other tests required for the covered installation.
Landlords also have a separate duty to maintain relevant gas pipework, appliances and flues in a safe condition. Maintenance, servicing, repair and the annual gas safety check should be named separately in the quotation so nothing is assumed.
Residential landlord duties
Check annually, give tenants the record and retain the evidence
The landlord-provided gas appliances and flues covered by the annual duty must be checked at least every 12 months. When the regulation 36A conditions are followed, a check in the two months before the deadline can preserve the original deadline rather than bringing the cycle forward.
Give an existing tenant a copy within 28 days of the check and a prospective tenant a copy before occupation. Keep each record for at least two years; when using the flexible timing provision, HSE says keep it until two further checks have been completed.
If a tenant cannot provide access, contact them promptly to agree another appointment and explain why the check is needed. Keep dated records of your requests, replies and attempted visits. You must take all reasonable steps to arrange the check; a fixed number of attempts does not automatically meet that duty. Do not force entry.
What the record should identify
Keep the property, engineer, checks and findings traceable
Who and where
The property address and the landlord or agent's name and address should be recorded.
What was checked
Each appliance or flue should be described and located so the covered scope is unambiguous.
Who completed the check
The check date, engineer's name, Gas Safe registration number and signature should be present.
Safety information
The record should identify safety defects, remedial action taken and the required confirmations for the checks completed.
If a defect is found
Keep the original finding, repair authority and follow-up evidence together
A safety check cannot promise a satisfactory result before the installation is inspected
Once all the required checks are complete, the gas safety record should be issued even if a defect needs repair. It should not be withheld while remedial work is arranged. The landlord record should state safety defects found and remedial action taken. Unsafe equipment must not be used. The engineer may need to advise, label, isolate or disconnect equipment in accordance with the applicable unsafe-situations procedure.
Investigation, repairs, parts, appliance servicing and return attendance are separate unless the written quotation expressly includes them. Retain the record, warning or defect notice, repair authorisation, invoice and follow-up evidence together.
Possible gas escape or immediate danger
Do not use a quotation form as an emergency response
For a suspected mains natural-gas escape in Great Britain, call the National Gas Emergency Service on 0800 111 999. Open doors and windows, turn off the gas at the meter if you know how and it is safe, avoid flames and do not operate electrical switches. Evacuate and call 999 where there is fire or immediate danger.
For LPG, follow the supplier and site emergency instructions and use the emergency number provided for the installation.
