For a unit that trades at several pitches, give the inspection address separately from future event locations. Explain whether all equipment will be present and accessible there. Comparing quotes for the same unit, appliance list and attendance address makes differences in travel and exclusions easier to spot.

Photographs and documents help check coverage, engineer categories and likely scope. They do not replace the physical inspection and should never be obtained by disturbing damaged or unsafe equipment.

The physical inspection comes before the record

CP44 is commonly used as the name for a mobile catering gas-safety record, but requesters can set their own evidence wording, scope and date. Send that requirement with the quotation request.

The record relates to the unit, LPG supply and appliances actually inspected. It cannot cover equipment that was omitted from the enquiry or added after the visit.

Budget from the equipment and requester’s interval

Annual inspection is a reasonable general minimum—not permission to wait after a change

HSE says catering gas inspection periods should reflect the equipment, its use, current industry practice and manufacturer recommendations, with annual inspection a reasonable general minimum.
