A residential landlord record, an owner-occupier safety visit, workplace gas maintenance and an LPG inspection are not interchangeable. Start with the property use, occupancy, appliance owner, fuel, jurisdiction and exact evidence requested.

Choose the duty route before choosing the certificate
Annual check and landlord record duties apply
The landlord must maintain relevant gas fittings and arrange an annual safety check for the appliances and flues they own and provide for tenants. The tenancy and ownership scope still need checking.
No automatic landlord record
Living in a home you own does not by itself create the annual landlord-record duty. Regular maintenance remains important, gas work needs the correct registered engineer and a buyer or insurer may request specific evidence.
Manage gas risk and maintenance
Workplace duties do not reduce to one universal commercial certificate. Identify the controlling person, equipment, business use, maintenance regime and the actual report required.
Match the LPG and appliance categories
Declare cylinders or bulk supply, regulator arrangement, location, installation type and every appliance. Domestic natural-gas competence does not establish suitability for all LPG work.

Four duties must be planned together

Define the landlord scope
Ownership, flues and timing change what must be checked
List every appliance and relevant flue
Permanent and portable gas appliances the landlord owns and provides for tenant use fall within the annual check. Include communal equipment where the duty applies.
Separate the appliance from the installation
HSE places the tenant's own appliance and its sole-serving flue outside the landlord appliance-check duty, while relevant installation pipework remains the landlord's responsibility.
Keep the installation date
HSE says a new covered appliance should receive its first check within 12 months of installation. Great Britain has a limited one-off alignment provision; check its conditions before relying on it.
Keep evidence of reasonable steps
The landlord cannot force entry without the appropriate legal route. Begin early, communicate in writing and retain the appointment and access history while following the current HSE guidance.
Owner-occupied home
No routine landlord record does not mean no gas-safety responsibility
An ordinary owner-occupier does not obtain the annual landlord gas safety record simply because the home contains a boiler, hob or fire. HSE nevertheless strongly advises regular maintenance and at least annual servicing of gas appliances, flues and pipework by a Gas Safe registered engineer.
A sale, remortgage, warranty, insurer or prior installation concern may create a separate evidence request. Ask the requester for its exact wording: it may want a service record, installation notification, commissioning document, safety report or investigation rather than a landlord record.

Businesses and workplaces
Start with risk, equipment and competence—not a generic certificate name
Gas work needs the registered category
HSE says work on gas fittings in these premises must be carried out by a Gas Safe registered engineer qualified for the work. Identify commercial or domestic equipment and who controls it.
Include ventilation and interlocks
Send the cooking-line schedule, fuel, extraction, make-up air, interlock, pipework and emergency isolation. The engineer must hold the appropriate commercial catering and fuel categories.
Separate residential and business duties
A mixed-use building, staff accommodation or communal plant can involve more than one dutyholder and record. State who owns, occupies and controls each area and gas system.
Check the correct competent-person route
HSE distinguishes some industrial premises from shops and restaurants. Describe the plant and premises so the applicable law, competence and inspection evidence are not assumed from a domestic form.
LPG, mobile and off-grid work
The fuel and installation type must be declared before attendance
LPG can serve rented homes, park homes, static caravans, commercial kitchens, mobile caterers, boats and temporary units. Those settings do not share one inspection form or competence category.
Send cylinder or bulk-tank details, regulator and changeover arrangement, pipework, ventilation, every connected appliance and whether the unit moves. State the event organiser, council, insurer, landlord or other party requesting paperwork and attach its exact specification.
Jurisdiction matters
Do not copy Great Britain wording into Northern Ireland
The Great Britain landlord sections of this guide refer to the Gas Safety (Installation and Use) Regulations 1998. Northern Ireland has separate 2004 regulations and HSENI guidance.
Identify the country before relying on timing, record or enforcement wording. Use current HSENI guidance for a Northern Ireland property and obtain specific professional advice where the tenancy, premises or responsible person is unclear.
Engineer competence
Check the business and the engineer's work categories
A Gas Safe logo is not the complete competence check
Use the official register to confirm the business. When the engineer arrives, check the photograph, licence number, expiry details and work categories on the reverse of the current ID card.
The categories must cover the actual fuel, appliances, premises and work. Domestic natural gas, LPG, commercial heating, commercial catering, laundry, mobile catering and other activities are not interchangeable.
Send photographs of the data plates and installation before attendance so the provider can confirm the right engineer and identify any access, testing or documentation constraints.

Send the postcode and country, plus parking, site induction, keys, tenant notice and working-hour constraints.
Residential, workplace or mixed

Who owns and controls what?
Identify the landlord, homeowner, tenant, employer, agent or other controlling person and who will receive the record.
Natural gas or LPG
For LPG, describe the tank or cylinders, regulator, changeover, pipework and whether the installation moves.
List every item
Provide make, model, location, owner, flue type, data-plate photographs and any communal or portable appliance.
Attach the current history
Include gas records, services, installation documents, warning labels, defects, repairs and recent alterations.
Use the requester's wording
State whether the need is a landlord record, service, workplace report, LPG inspection, fault visit or another named document.
Give the real deadline
Identify the responsible contact, occupants, access window, shutdown limits, trading deadline and report recipient.
Request a transparent quotation
The quote should name the scope, evidence and exclusions
A reliable quotation depends on the postcode, property use, dutyholder, fuel, appliance schedule, access, requested record, timing and required engineer categories. One headline certificate price cannot describe every legal or commercial situation.
Ask the quotation to identify the appliances and flues included, the document provided, VAT and travel treatment, access assumptions, exclusions and how servicing, diagnosis, repairs, parts or return attendance will be authorised.
