For every item, record five facts

State the appliance, room or location, fuel, who owns or provided it, and the connected flue or terminal. Add the make, model, data-plate photograph and any known defect where available.

Landlord gas safety record

The record identifies the covered appliances and flues, engineer, check date, property and landlord or agent, required checks, defects and action taken. It should not be treated as evidence for undeclared equipment.

Appliance service

Manufacturer-appropriate maintenance for a named appliance is not automatically included in the annual landlord check. Ask for both activities if both are needed.

Faults, repairs and parts

Investigation, authorisation, parts, repair time and return attendance are separate unless the quotation says otherwise. No inspection can guarantee a satisfactory result.

Alarms and installation evidence

Carbon monoxide alarm duties, installation or commissioning evidence, building-control notification and historic paperwork are not created automatically by a landlord check.

Landlord responsibilities

Annual checks, maintenance and tenant records

Where the landlord gas safety rules apply, the supplied gas appliances and flues need a check at least every 12 months. A check in the two months before the due date can keep that date for the next annual check if the regulation 36A conditions are met.

Keeping a record does not replace the duty to maintain the gas appliances, flues and installation pipework for which you are responsible. Ask whether the visit includes a gas-tightness test and a visual pipework inspection; HSE recommends these alongside the annual check. See its pipework maintenance guidance.

Give an existing tenant a copy within 28 days of the completed check and a prospective tenant a copy before occupation. HSE says records must be kept for at least two years; when the flexible timing provision is used, keep the record until two further checks have been completed.

Arrange access with the tenant before the appointment. If access cannot be agreed, retain the correspondence and evidence of reasonable attempts to arrange the check. Do not force entry. HSE's landlord guidance explains the approach.

Unsafe equipment must not be used. The engineer may need to advise, label, isolate or disconnect an appliance under the applicable unsafe-situations procedure. The original record should not be withheld until repairs are completed.

Keep the gas safety record, defect or warning notice, repair authority, invoice, parts information and follow-up evidence together. A new booking may be required where investigation, repair or return attendance was outside the original scope.

For a suspected mains natural-gas escape in Great Britain, call the National Gas Emergency Service on 0800 111 999. Open doors and windows, turn off the gas at the meter only if you know how and it is safe, avoid flames and do not operate electrical switches. Evacuate and call 999 where there is fire or immediate danger.

For LPG, follow the supplier and site emergency instructions and use the emergency contact provided for the installation.

What does a gas safety certificate in Kent usually mean?
For most rented homes, this means the Landlord Gas Safety Record, often called a CP12. It records the safety checks on the gas appliances and flues covered by the landlord's duties. Those duties can apply to LPG as well as natural gas. A boiler service or installation document serves a different purpose, so tell us what the property is used for and which record you need.
How often does a Kent landlord need a gas safety check?
Arrange checks on the relevant landlord-provided appliances and flues at least every 12 months. The permitted two-month early-check window can preserve the existing annual due date when the regulation 36A conditions are met. It does not extend a deadline that has already passed.
When must tenants receive the gas safety record?
An existing tenant must receive a copy within 28 days of the check. A prospective tenant must receive a copy before moving in. Electronic copies can be used when the tenant agrees and can access them, but a paper copy must be supplied if requested.
Which gas appliances and flues should I declare?
List every boiler, fire, cooker, hob, water heater, portable gas appliance and associated flue, with its location and owner. The landlord duty normally covers appliances and flues the landlord provides. A tenant-owned appliance has a different boundary, although the landlord remains responsible for relevant installation pipework and HSE recommends considering the flue serving it.
Is a boiler service included with the landlord check?
Not unless the quotation expressly includes it. The annual landlord gas safety check and appliance servicing are separate activities, even when arranged for one visit. Repairs, parts, fault investigation, carbon monoxide alarm work and return attendance should also be identified separately.
Do homeowners or sellers always need a gas safety certificate?
No universal landlord-certificate duty applies to every owner-occupier or property sale. A homeowner should maintain and service gas appliances safely using a suitably registered engineer. A buyer, lender, insurer or solicitor may request particular evidence, so send the exact wording rather than ordering a landlord record by assumption.
Can the same engineer cover natural gas, LPG and commercial work?
Not automatically. Gas Safe registration is divided into work categories covering fuels, appliances and types of installation. The engineer must hold the current categories required for the actual job.
