For every item, record five facts
State the appliance, room or location, fuel, who owns or provided it, and the connected flue or terminal. Add the make, model, data-plate photograph and any known defect where available.

Landlord gas safety record
The record identifies the covered appliances and flues, engineer, check date, property and landlord or agent, required checks, defects and action taken. It should not be treated as evidence for undeclared equipment.
Appliance service
Manufacturer-appropriate maintenance for a named appliance is not automatically included in the annual landlord check. Ask for both activities if both are needed.
Faults, repairs and parts
Investigation, authorisation, parts, repair time and return attendance are separate unless the quotation says otherwise. No inspection can guarantee a satisfactory result.
Alarms and installation evidence
Carbon monoxide alarm duties, installation or commissioning evidence, building-control notification and historic paperwork are not created automatically by a landlord check.

Landlord timing and records
Check annually, give tenants their copy and retain the history
Relevant landlord-provided gas appliances and flues must normally be checked every 12 months. When the regulation 36A conditions are followed, a check completed in the final two months can retain the original deadline rather than moving the cycle earlier.
Give an existing tenant a copy within 28 days of the completed check and a prospective tenant a copy before occupation. HSE says records must be kept for at least two years; when the flexible timing provision is used, keep the record until two further checks have been completed.

An inspection records the installation found on the day
Unsafe equipment must not be used. The engineer may need to advise, label, isolate or disconnect an appliance under the applicable unsafe-situations procedure. The original record should not be withheld until repairs are completed.
Keep the gas safety record, defect or warning notice, repair authority, invoice, parts information and follow-up evidence together. A new booking may be required where investigation, repair or return attendance was outside the original scope.

Do not wait for an online quotation response
For a suspected mains natural-gas escape in Great Britain, call the National Gas Emergency Service on 0800 111 999. Open doors and windows, turn off the gas at the meter only if you know how and it is safe, avoid flames and do not operate electrical switches. Evacuate and call 999 where there is fire or immediate danger.
For LPG, follow the supplier and site emergency instructions and use the emergency contact provided for the installation.
